KEY RESPONSIBILITIES

1. Secretary

Coordinate and be mainly responsible for:

  • Agenda organizing and managing appointments and meeting of the Chief L&C Officer;
  • Taking notes and minutes of meetings of L&C division and inter-divisions;
  • Preparing notes, presentations, and other documentations for the Chief L&C Officer and other members of L&C division upon requested;
  • Checking and managing the approval process for internal documents;
  • Supporting the communications within the L&C division as well as inter-divisions;
  • Screening telephone calls, enquiries, and requests from other divisions and departments to L&C division;
  • Collect and/or coordinate for the reports required from L&C divisions (as instructed by the Chief L&C Officer); and
  • Other secretary tasks as assigned by the Chief L&C Officer.

2. Administration

Coordinate and be mainly responsible for all administrative works of L&C division, in particular:

  • Tracking and monitoring the costs and expenses of L&C division (e.g., taxi, travel, accommodation, etc.,);
  • Managing all the daily routine admin tasks of L&C division (e.g., stationary and office supplies management, newspaper arrangement, mails management, courier services, etc.);
  • Processing all purchasing and payment activities for L&C division;
  • Tracking and updating the organization chart and the functions and tasks of L&C division upon instructed by the Chief L&C Officer;
  • Organizing and coordinating the team building activities, off-sites, team training, business trips and similar activities and events;
  • Providing administrative supports and assistance to all members of L&C division; and
  • Other administrative tasks as assigned by the Chief L&C Officer.

3. Legal Works:

  • Research, analyze and provide legal consultation for various aspects during operations of the company;
  • Prepare, draft, revise, review and/or provide comments on all agreements, templates, internal regulations and/or other documents related to the Company;
  • Provide Legal Update of new Regulations as well as translation of contracts and other materials (where necessary);

4. Others

  • Provide other general supports and assistance to other members of L&C division upon being requested by the Chief L&C Officer.

JOB REQUIREMENTS

  • University degree is preferred;
  • Law education background is preferred;
  • Advanced knowledge of MS Office tools;
  • Experience in admin works with good attention to details and organizational skills.
  • Experience with budget planning and management;
  • Advanced English communication and writing skills.
